5 Hidden and cool features in Outlook you must try

MS Outlook is a hub of awesome tools and features. While everyone knows the usage of outlook. It is an email client, and its functions include calendar, task managing, contact managing, note-taking, journal logging and web browsing.

Here I will explain a few notable hidden functions:

1. Add or remove the number of lines in the email preview 

Yes, you adjust the message preview span in the mail outlook window by following these steps. Go to the view tab on the top >> Select Current View >> Message Preview > choose Off if you don’t want any preview and pick number of lines if you need a preview.


Once the above steps are complete, it will prompt you to select if you want these modifications to be applied to the current folder or all mailboxes. Choose as per your requirement and you are done. 

2. To view your pending\flagged task on the main outlook window

It is crucial for any office employee to organize their pending task and complete those on\before timelines without any escalation. So, we often flag such assignments to finish later before the deadline.

In order to see such flagged tasks on the Outlook Home screen>> Go to View on the menu bar >> Layout >> To-Do Bar >>Select Tasks (Follow the below screenshot)

Once it is done a new task pane will be added on the right side of Outlook main screen. As you can see in the above image under To-Do Bar, Calendar and People choices are also available. 

3. Change Theme for entire MS office applications including Outlook

We always get excited about changing wallpaper or them for our mobile devices. Why not try this in our office applications like outlook.

To do this, please go to File option in menu Bar >> options >> General >> In the Personalize your copy of Microsoft Office, select Office Theme  (Refer to the below screenshot)




Just choose whatever these you desire
and press OK

4. While replying or forwarding the email, original message closes automatically 

Well, this feature is my personal favourite. When you reply to a mail, the initial ones stay open in the background, and we have to close it manually. To terminate this additional action, follow these steps. Go to File >> Options >> Mail >> under Replies and forwards >> tick the option Close original message window when replying or forwarding and you are done. ( Refer to the below screenshot to pursue these steps)



 5.  Add a new Tab in the Menu bar in Outlook

We have standard tabs available in outlook that contains File, Home, Send/Receive, view, help and Acrobat. Looks something this ( Refer to the below Image):


We can also add additional tabs with custom options underneath. For example, If I want to add a new Tab named My personal Tab which would have functions I operate most and repeatedly such as Automatic replies, Account Setting, new Tasks and Manage rules & Alerts Etc. below are the steps to achieve it.

Go to File >> Options >> In new dialogue box, select Customize Ribbon from the left >> On the right you will get a list of popular commands and Main Tabs. Click on the New Tab button and create a Tab name My Personal Tab(Refer to the below image).

Once a new tab is created, and there will be a new group under it, please select that new group and start adding functions from the popular commands, (Refer to the below Image)

Once all steps are complete, press OK. A whole new Tab will appear in the menu bar with all the custom functions. (Refer to below screenshot).
